Die Infrastruktur von mehreren hundert Filialen umfasst tausende Instandhaltungsfälle, von denen viele manuell über Excel, E-Mail und Telefon koordiniert wurden. Informationen lagen verstreut, Zuständigkeiten waren schwer nachvollziehbar, und es gab keine zentrale Übersicht über Fälle, Anlagen, Kosten oder Prioritäten.
EngineerIT analysierte die bestehenden Prozesse und entwickelte das Zielkonzept für eine zentrale Instandhaltungsplattform. Gemeinsam mit migrolino definierten wir Abläufe für Störungsmeldung, Notfallreparaturen, Geräteersatz und Beschaffung sowie die Rollen und Berechtigungen von Filialmitarbeitenden, Regionalleitung, Technikteams, Finanzen, IT und externen Dienstleistern.
Die daraus entstandene Ausschreibungsunterlage enthielt einen umfassenden Katalog funktionaler, technischer und qualitativer Anforderungen. Sie deckte mobile Störungsmeldung, den Lebenszyklus von Anlagen, automatisierte Workflows, Dashboards und Reporting, die Zusammenarbeit mit Lieferanten, Revisionssicherheit sowie Integrationen mit Systemen wie SAP, Identity Management, Lieferantenplattformen und dem Instandhaltungssystem von Migrol ab.
Das Ergebnis war eine klare, herstellerneutrale Basis, um Standardlösungen zu vergleichen und eine skalierbare Plattform mit minimalem Eigenentwicklungsanteil auszuwählen.
Managing the infrastructure of hundreds of shops involved thousands of maintenance incidents, many of which were coordinated manually through Excel, email and phone. Information was fragmented, responsibilities were difficult to track, and there was no central overview of incidents, equipment, costs or priorities.
EngineerIT analysed the existing processes and developed the target concept for a central maintenance management platform. Together with migrolino, we defined workflows for incident reporting, emergency repairs, equipment replacement and procurement, as well as the roles and permissions of shop employees, regional managers, maintenance teams, finance, IT and external service providers.
The resulting tender documentation included a comprehensive catalogue of functional, technical and quality requirements. It covered mobile incident reporting, equipment lifecycle management, automated workflows, dashboards and reporting, supplier collaboration, auditability and integrations with systems such as SAP, identity management, supplier platforms and Migrol's maintenance system.
The result was a clear, vendor-neutral basis for comparing standard software solutions and selecting a scalable platform with minimal custom development.
